MABARO✳ STUDIO
MABARO / Inquiry and proposal assistant

From an inquiry
to a clear
proposal.

A customer describes their needs. The assistant organizes the information, flags missing details and prepares a reply draft. You check pricing, terms and wording before sending.

Who it is for

When every inquiry
starts in a similar way.

A frequent process based on a well-defined offer is a good starting point. We first check whether your information and tools can support the improvement.

01

Service businesses

The assistant extracts scope, expectations and missing details from an inquiry. It prepares a summary and draft clarification questions for your team to review.

02

B2B sales

The assistant organizes specifications and quantities, uses your approved offer and flags missing details. It drafts a reply; a person confirms price, availability and timing.

How it could work

Less searching.
Clearer next steps.

Example customer inquiryWe need a new website for our studio. We have a logo and photos. We need an inquiry form and Polish and English versions.
01

Identified scope

Business website, two languages, inquiry form; logo and photos available.

02

Missing information

Number of pages, readiness of copy, expected launch date and inquiry handling.

03

Draft next step

A reply asking for the missing details and suggesting a first-version scope for review.

This prepared example illustrates the intended workflow. It is not output from an AI assistant running on this page.

What the first pilot includes

One workflow.
A clear scope.

We start with a small implementation that can be checked against realistic inquiries. Expansion follows an assessment of the results.

01

One channel

A selected form or inbox, where a secure connection is possible.

02

One service knowledge base

Your approved offer, rules and answers, using materials you designate as sources.

03

Reply drafts

An inquiry summary, missing details and a proposed message for approval.

04

Human handover

Unclear questions and exceptions go to the person responsible for handling them.

In the first pilot, a person approves prices, discounts, deadlines and sending. Independent order acceptance, payments and extensive integrations require a separate scope.

How we start

From one task
to a tested pilot.

Before starting, we agree the result, revision scope and acceptance criteria. We can work remotely by exchanging your process description, materials and feedback.

01

Process and materials

We select a recurring task, example inquiries and approved sources. We define what requires a person’s decision.

02

Scope and quote

We confirm the channel, connections, access, costs and timing. Tool capabilities are checked before integrations are agreed.

03

Configuration and tests

We prepare the pilot. Tests cover ordinary inquiries, missing information and exceptions, including reply drafts and human handover.

04

Acceptance and launch

We verify the agreed criteria and explain operation, knowledge updates and how to disable the solution. Expansion follows an evaluation of the pilot.

What will I receive after the pilot?

A solution within the agreed scope: one channel, approved information sources, summaries and reply drafts for review. At acceptance, we check the agreed examples and provide operating rules, usage guidance and knowledge update instructions. Connections to other systems must be confirmed in the quote.

What determines pricing and timing?

Inquiry variety, material quality, integrations and oversight needs. The quote separates implementation from licences, AI usage and any ongoing support. Timing is agreed after confirming scope, materials and access.

What are the running costs?

Depending on the solution, these may include AI model usage, tool subscriptions, hosting and ongoing support. Before starting, we agree which services you pay for, applicable limits and responsibility for updates. New functions are quoted separately.

Does the assistant send messages and set prices?

The first pilot prepares drafts for approval. A person checks prices, discounts, deadlines and sending. Wider automation can be considered separately after reviewing results and agreeing permissions.

How will we assess the benefit?

We compare reply preparation time, required corrections and how often a person must take over. Criteria and measurement methods are agreed for your process before starting.

What do you do manually
after every inquiry?

Describe the recurring task, current tools, inquiry volume and desired result. You do not need a finished specification; this gives us a starting point for agreeing the first pilot.

Describe your process
Try it / Prepare your brief

Describe your idea.
Explore an initial scope.

Choose a project type and write a few sentences. Get a brief to refine and questions to answer before a quote. Confirm or remove the possible functions detected in your text.

This rule-based demonstration is not connected to an AI model. Your description is processed in your browser. Transferring it to an inquiry temporarily stores the brief in your browser. Do not enter passwords or customer data.

Materials for the pilot

What should you prepare?

Select a few typical inquiries and remove personal data and confidential information. Prepare your approved offer, response rules and situations requiring a person. Assign someone to keep the knowledge up to date.

We agree which data the assistant can use, who has access and how reply drafts are checked. Tests also cover missing information and unusual questions. AI usage and running costs are discussed before starting.
